Personal data
For accounts, reseller applications and orders, we process names, company details, addresses, email addresses, telephone numbers, company registration and VAT details if provided, account details and order/payment status. For dropshipping we also process your customer's name and delivery address and the sender details you provide. Only share customer data you are legally permitted to provide.
Purposes and legal bases
We process data to assess business applications, manage accounts, fulfil orders, answer questions and process payments and deliveries, to enter into or perform a contract. Administrative records are processed to meet legal obligations. Security and limited visitor presence serve our legitimate interest in a secure, functioning shop. Where consent is required, it is requested separately.
Retention
We keep data only as long as needed. Tax records are generally retained for seven years where required by law. Enquiries and unsuccessful applications are removed when no longer needed. Account data is kept while the account is needed, subject to legal obligations and necessary dispute handling.
Service providers
Data is shared only as needed for services or legal obligations. The shop is hosted by a professional cloud hosting provider. Payments through Mollie involve sharing relevant payment data with Mollie. Delivery details may be shared with a carrier such as DPD. Partner orders, including Allogoods orders, involve exchanging necessary order data. Data protection agreements are made where required. Processing outside the European Economic Area requires appropriate legal safeguards.
Website visits and browser storage
Necessary browser storage supports sign-in, your basket and a random visitor identifier. Online presence records contain this temporary identifier, the current page path and the last contact time. This record does not store IP addresses, query parameters or browsing history and can only be read by administrators. Entries older than five minutes are cleared on a subsequent visitor contact. Google Analytics is not installed in the current shop. Hosting and security services may separately process technical logs to operate and protect their services.
Your rights
You may request access, correction, deletion, restriction or portability, and object to processing based on legitimate interests. Consent can be withdrawn without affecting earlier lawful processing. Email info@kaarsentrade.nl. We generally respond within one month; complex requests may require a lawful extension, which we will explain. We may request information to verify your identity. You may complain to the Dutch Data Protection Authority at autoriteitpersoonsgegevens.nl.
Security and changes
We take appropriate technical and organisational measures, including encrypted connections and restricted access. Absolute security cannot be guaranteed. Report suspected misuse or security concerns to info@kaarsentrade.nl. This notice is updated when processing changes.
